Technical Duties:
Ensure timely submission of monthly requests, reconciliations and financial statement reports
Maintain accurate bank records of cash withdrawals and deposits.
Ensure efficient payments and disbursements according to approved policy and procedures
Provide administrative, logistical, and procurement support to the team, including payment to events participants, transportation and accommodation
arrangements, and ongoing operations
Follow up on issues raised by the Finance and Grants Teams to ensure compliance and resolution
Other duties related to logistics and procurement, as assigned by the Program Director
Budget Management
Payments Prepare / process and keep the track of fund transfers to the regional offices.
Supervise all feature of day to day operation of accounting procedures
plan is implemented.
Review all spreadsheets
Assist activities managers with compiling, managing, monitoring, and tracking budget (e.g. organizing invoices, checks, & other financials) and
preparing financial/funding reports, when deemed necessary.
Work with the program team to ensure budget compliance.
Administrative officer will contribute to the development implementation and monitoring of frameworks policies and procedures across the full range
of administrative functions and services;
Full compliance of administrative activities with government regulations policies and strategies.
Assist in purchase of all basic office supplies stationery etc
Maintain stock inventory record keeping and updating them on timely basis for all assets.
Organizing and managing schedules and calendars for staff managers and senior-level officers
Receiving and processing communication channels including email phone and physical mail
Ensure functionality of necessary office equipment and requisitioning new equipment and supplies as needed
Creating reports and memos for managers and senior-level officers as needed
Attend meetings and record notes and messages for managers and senior-level officers
Maintain and update WYFAO administrative databases
Organize a filing system for important and confidential WYFAO documents
Answer queries by employees and clients
Maintain a company calendar and schedule appointments
Distribute and store correspondence (e.g. letters emails and packages)
Prepare reports and presentations with statistical data as assigned
Arrange travel and accommodations book meeting rooms as required
Any other related task that assigned by the director
Managerial Duties:

Coordination:
Assist, support, counsel and advise the Sr Finance Officer / and Admin officer with respect to financial matters, systems and processes related to the
women and youth future assist organization
Advise and maintain the WYFAO investments, financial instruments, loans, lease agreement provisions (financial), and other related matters
Ensure timely and accurate adherence to all statutory, regulatory, and policy governments with respect to financial and related matters (including but
not limited to tax remittance and insurance requirements)
Have a strong Coordination with the main office Sr Finance Officer
Manage annual Audit exercise, prepare audit follow-up action plans, and ensure that the action
Manage cash controls as well as maintain book keeping up-to-date

Minimum of 03 years of relevant experience in administrative positions with NGO’s , UN, UN funded Projects or similar
Experience in managing and supporting external clients.
Recent experience in supervising teams.
Experience working in procurement Database
Experience in the usage of computers and MS Office packages. Advanced knowledge of spreadsheet and database packages.
