About Women and Youth Future Assist Organization:
Women & Youth Future Assist (WYFA (https://wyfao.org/about/)) is a non-profiting, non–governmental, and non–political organization that is
mainly involved in humanitarian and developmental activities and serves people in need. WYFA was founded back in 2016 by a group of young afghan
professionals with a high spirit of helping and shaping lives in Afghanistan. WYFA was founded to play a prominent role in addressing the real needs
of poor people and enable all Afghans to speak for their rights and have an enabling environment for their development and prosperity
Job Description:


Technical Duties:

  1. Ensure timely submission of monthly requests, reconciliations and financial statement reports
  2. Maintain accurate bank records of cash withdrawals and deposits.
  3. Ensure efficient payments and disbursements according to approved policy and procedures
  4. Provide administrative, logistical, and procurement support to the team, including payment to events participants, transportation and accommodation
  5. arrangements, and ongoing operations
  6. Follow up on issues raised by the Finance and Grants Teams to ensure compliance and resolution
  7. Other duties related to logistics and procurement, as assigned by the Program Director
  8. Budget Management
  9. Payments Prepare / process and keep the track of fund transfers to the regional offices.
  10. Supervise all feature of day to day operation of accounting procedures
  11. plan is implemented.
  12. Review all spreadsheets
  13. Assist activities managers with compiling, managing, monitoring, and tracking budget (e.g. organizing invoices, checks, & other financials) and
  14. preparing financial/funding reports, when deemed necessary.
  15. Work with the program team to ensure budget compliance.
  16. Administrative officer will contribute to the development implementation and monitoring of frameworks policies and procedures across the full range
  17. of administrative functions and services;
  18. Full compliance of administrative activities with government regulations policies and strategies.
  19. Assist in purchase of all basic office supplies stationery etc
  20. Maintain stock inventory record keeping and updating them on timely basis for all assets.
  21. Organizing and managing schedules and calendars for staff managers and senior-level officers
  22. Receiving and processing communication channels including email phone and physical mail
  23. Ensure functionality of necessary office equipment and requisitioning new equipment and supplies as needed
  24. Creating reports and memos for managers and senior-level officers as needed
  25. Attend meetings and record notes and messages for managers and senior-level officers
  26. Maintain and update WYFAO administrative databases
  27. Organize a filing system for important and confidential WYFAO documents
  28. Answer queries by employees and clients
  29. Maintain a company calendar and schedule appointments
  30. Distribute and store correspondence (e.g. letters emails and packages)
  31. Prepare reports and presentations with statistical data as assigned
  32. Arrange travel and accommodations book meeting rooms as required
  33. Any other related task that assigned by the director

 

Managerial Duties:

Coordination:

  1. Assist, support, counsel and advise the Sr Finance Officer / and Admin officer with respect to financial matters, systems and processes related to the
  2. women and youth future assist organization
  3. Advise and maintain the WYFAO investments, financial instruments, loans, lease agreement provisions (financial), and other related matters
  4. Ensure timely and accurate adherence to all statutory, regulatory, and policy governments with respect to financial and related matters (including but
  5. not limited to tax remittance and insurance requirements)
  6. Have a strong Coordination with the main office Sr Finance Officer
  7. Manage annual Audit exercise, prepare audit follow-up action plans, and ensure that the action
  8. Manage cash controls as well as maintain book keeping up-to-date

 

Job Requirements:
Experience/ Requirement:
Education:
Bachelor Degree or equivalent in Business / Public Administration
Minimum of 03 years of relevant experience in administrative positions with NGO’s , UN, UN funded Projects or similar
Experience in managing and supporting external clients.
Recent experience in supervising teams.
Experience working in procurement Database
Experience in the usage of computers and MS Office packages. Advanced knowledge of spreadsheet and database packages.

Language Requirements:
Fluency in Pashto and Dari; strong knowledge of English is highly required.
